What It Is
Stop Re-Keying Documents
AI document automation, also called intelligent document processing, is software that reads business documents such as invoices, purchase orders and forms, extracts the data you need, checks it against your records and sends it to your business systems. It combines OCR with large language models, so it copes with new layouts without a template for each supplier, and it routes uncertain fields to a person for review. Finance and operations teams then approve exceptions instead of typing every document.
See It on Our DocumentsNo template per supplier
Language models understand the document, so new layouts don't need new set-up.
People stay in control
Low-confidence fields and failed checks always go to a reviewer before posting.
Connected to your ERP
Matching and posting happen in the systems you already run, not a separate silo.

How AI Document Automation Works
What changes compared with template OCR, and what to plan for.
- Why template OCR falls short
- Accuracy, checks and human review
- Connecting to your ERP
- Searching documents with AI
- Security and data handling
Why template OCR falls short
Traditional OCR tools need a template for each layout, so they break whenever a supplier changes their invoice design, and someone spends time maintaining templates. Large language models read the document the way a person would, finding the supplier, dates, totals and line items wherever they appear on the page.
Accuracy, checks and human review
No extraction method is perfect, so accuracy comes from checks as much as from the model. Every field gets a confidence score, and rules confirm that line items add up, tax is correct, the supplier exists and the invoice matches a purchase order and goods receipt. Documents that pass go straight through; the rest wait in a review queue.
- Confidence scores per field
- Totals & tax checks
- Two- and three-way matching
- Review queue with audit trail
Connecting to your ERP
The value comes from posting into the systems you already use. We integrate through each system's API, use your existing suppliers, items and cost centres for matching, and post drafts or final entries depending on your approval rules.
Searching documents with AI
Beyond extraction, the same pipeline can make your document archive searchable. Retrieval-augmented generation (RAG) lets people ask questions such as "what are the payment terms in our contract with this supplier?" and get an answer that cites the source document, limited to what each user is allowed to see.
Security and data handling
Documents often contain personal and financial data. We process them in your chosen cloud region, use enterprise AI services that don't train on your data, restrict the review queue by role and log every change, so auditors can see who approved what.

Got Questions?
AI Document Automation FAQs
How it works, accuracy, systems and security — answered.
It's software that reads documents such as invoices, purchase orders and forms, extracts the data you need, checks it and sends it to your business systems — so people review exceptions instead of typing every document.
Template OCR breaks when a supplier changes their layout. LLM-based extraction understands the document's content, so it handles new layouts and formats without a template for each one.
Any system with an API. We commonly connect to Dynamics 365 Business Central, Odoo, SAP Business One and Zoho Books, and can integrate others on request.
Each field gets a confidence check and validation rules such as totals, tax and PO matching. Anything uncertain goes to a review queue for a person to approve or correct, and every change is logged.
Supplier invoices, credit notes, purchase orders, delivery notes, bills of lading, receipts, statements, application forms and contracts are the most common. We start with the document that costs your team the most time.
A pilot on one document type usually takes a few weeks, depending on how many systems are involved. We measure accuracy on your own documents before rolling out.
Yes. We use your chosen cloud region, enterprise AI services that don't train on your data, role-based access to the review queue and an audit trail for every document.
